I have created this forum for Bill to post all the new functions he is building into the new website and the most critical part of all this is having the reps involved heavily. The new site and especially Bills brilliant ideas will only be fully realised with the full support of the area reps, or if they cannot dedicate any time to input information then if every area could appoint someone as their official web liaison that would be ideal.

The new site is going to be completely different from this site. There will be a lot more possible with polls, voting etc that can be done.

So it will be up to every league to get someone they can trust to be their online rep.

If leagues choose not to support this new grasp of technology then they could be left behind in the decision making process of the SPA, we need to move with the times.

One of the proposals is that affiliated leagues should have more say in how things are run. The meetings are often badly attended. So official on-line polls could perhaps provide an answer?

Allowing each representative to vote online on behalf of their league is just one idea.
If that (and other other ideas.. such as a completely revised system for publishing events and calendars) does not get support then the probability is that there won't be a new website.... which is fair enough.
These are just proposals.

Proposals for New Website

First of all apologies if this is all a bit long-winded.... but better too much information than too little perhaps!

These are some proposals and ideas for a new SPA website.

In designing a new site the emphasis is on developing systems which improve communication between those who run the SPA and the organisation's membership.
An important proposal is that there should be less dependence on site forums to keep members informed. Content in forums can be difficult to find and it's not always certain if information is up-to-date when it is found.

In the early stages of developing a new website little attention will be given to the overall appearance of the site. Content and usability are the priorities. However it is being developed to a 'responsive' design.
That means that the content ought to be easily read when viewed on any device, be that a personal computer, tablet or mobile phone.
The effect can be checked out by uploading the site on a mobile device or resizing the window on your computer screen.
All of the site content should align itself vertically, so that scrolling up and down displays everything... nothing is pushed out of sight to the right of the screen.

The basic idea is that all content is prepared and uploaded by registered members of the website. It will not be left to one person to update the site.
Those responsible for creating and updating site content will be SPA executive members and officials, league representatives and some others.
SPA officials will be able to update the site content relating to their duties within the organisation. For example those in charge of the Youth and Juniors will update and publish their own web pages. Similarly authorship rights will be given to those running ladies pool, disabilities section, national teams, referees and so on.

There's an overview of what it's hoped to achieve under 'Site Design' on the main menu.

Everyone is more than welcome to add comments to this forum or PM with thoughts or suggestions about what they would like to see on a new website.

Forms to Input Information

An important feature in the design of the new website is the use of formatted forms to input information.
These are on-line forms designed for a variety of purposes. Those with authorship rights can add and save data.
The use of forms makes it simple for SPA administrators, league representatives and other contributors to publish information.
The information is presented in such a way as to be easy to locate. Details won't be lost in forums.
In designing the different forms, the fields (that is text boxes, selection lists, etc) which are used to input information are laid out as intuitively as possible.
There's guidance for those who will fill in the forms; explaining what input is required for each field.

There will be input forms for player profiles, competition details, league pages, pool venues, etc.

On-line League Representatives

A league page on the website is created by an authorised league representative, using a formatted content form, to provide basic information about the SPA affiliated pool league which he or she represents.
For starters this feature means that, given the co-operation of every league, the SPA has, for the first time, the opportunity to gather accurate information and statistics regarding its affiliated leagues.

The proposal is that each SPA affiliated league has a league representative, nominated by their league.

In fact the idea is that the league representative will have a variety of responsibilities, including...

1. The online league representative will update their own league's web page on the site. This provides basic information about their league including contact details.

2. The league representative can cast a single vote on behalf of the league they represent in SPA on-line polls. The results of these pools to be binding. The results of the votes... and most importantly who voted what... can be seen online.

3. League representatives can individually add details of major tournaments (their league or local events) which will appear on the SPA website calendar and in the tables of forthcoming events. When event pages are added and saved they are added automatically to the calendars.

4. Each league representative is provided with an exclusive username to sign into the SPA website.

5. League representative will have their own webmail and twitter accounts to which only they have access.

As you'll see the great thing about league pages is that content from each can be extracted and displayed in tables. For example...

If leagues could nominate their representatives then he/she can be sent a username and password to sign on to site and complete their league page (and try out the test poll).

The on-line league representative might be a league official, an existing league or IM rep or indeed anyone nominated by their league to update the league page and vote in polls on behalf of their league.
It's obviously going to be up to individual leagues to decide who should take on this job.

If this system is to be successful it's important that every SPA affiliated pool league is represented on the website and that all of the information requested on the league form is added.

As mentioned the league representative has an exclusive email address at the webmail account mail.scottishpool.org.
League representatives can use this email address to communicate on any pool related matter.
This address is the one which is used to create the league rep's website and twitter accounts.

Event Pages and Calendar Listings

Event details are added using an on-line form. These forms are completed by SPA officials, league representatives, promoters and those running events at pubs and clubs.

Information to add to formatted event pages includes...

Title of event.
Event overview.
Who runs the event.
Event venue.
Date of event.
Finish date, if it runs for several days.
Final date for entry.
Eligibility.. for men, ladies, juniors, etc.
Singles or team event.
If a team, the numbers in each team.
Total number of entrants.
Format, knock-out, round-robin, etc.
Sponsorship information.
Contact details.
Entry fee.
Prize fund.
Dress code.
Location.. full address and map.

The Arbroath Open is an example of an event added by a league representative.

As soon as information is added to an event form and saved then details will appear automatically and immediately on all lists and calendars.

There are calendars showing events by month and year in traditional calendar format.
More usefully perhaps there are tables listing events in order of date on which they are held and which link directly to the individual event pages.

Profile Pages

Profile pages will allow all site members to share additional information about themselves on the website.
Additional that is to what's held in the basic user account which everyone completes when they first register. The basic user account requires that every site member provide a username, email address.... and, it is proposed, their first name and surname.

Profile pages could be created to extend the information available about players.
These extra pages need not be completed at the time of registration and may or may not be made visible to the public, depending on their content.

In fact there can be multiple profile types...

For example a general profile could include a photograph, location, date of birth, facebook or twitter links and contact details.

A player profile might provide the name of the team(s) for which site members play (league or national), league name, whether an SPA or league official, playing history, league and tournament wins, SPA events in which participating, etc.

Work on these profile pages has not started. These again are just proposals.
Feedback from players is important in deciding what information could be included in these pages.

As with other types of site content, tables can be created to provide lists of the results of searches through profiles.
For example a table might list all players from a selected team or league, or below or above a certain age.
Tournament wins could be listed against player names.

Searching through website content in this way, and listing the result of these searches, is a useful and powerful feature.

I ought to point out the registration process has not been enabled on the site yet.
It's just intended for testing out ideas at the moment.
All of the league reps will be registered initially (that will need to be done by the website admin)... and various pages still need to be designed.... it has to be decided what information is to be included in player profiles for example.
It's some time off, but I don't think it will be possible to transfer users names from the existing site. The software is totally different and passwords may be encrypted differently.
Any questions at all about the development of the site or thoughts about its content please PM or post in the forum.

Every league representative is being allocated an exclusive email address.
An online mailbox is provided for each.

League reps will be able to...

1. Point browser at :

2. Enter full email address :
leaguename@scottishpool.org
(eg edinburgh@scottishpool.org)

3. Enter password :
(same password for league rep's website and twitter accounts)

4. Click 'Login'

5. Use their email address to communicate on any pool related matter. Email addresses will be posted on the website and can be used by SPA officials, site members and players to contact individual league reps.

Scottish 8-ball Venues

Web pages are being created listing some basic information about Scottish venues which provide 8-ball facilities.

To start off with, the website will list only Scottish pubs, clubs or pool halls which house four or more UK style eightball pool tables.

The information needed includes an overview of what venues have to offer, postal addresses, numbers of tables, contact details, maps, etc.

Bill cant help with info but 3 places in Edinburgh Dianne's pool Hall, Rileys and Shandon who have just put in 8 tables. I'm sure Edinburgh rep will give you all the info needed.

Twitter Pages

Every league is being set up with a twitter page.
These will simply provide yet another means for leagues to communicate with their membership and keep players informed.

Each league's twitter page is updated by the official on-line league representative.
It's hoped that league reps will be able to publish basic information such as dates of tournaments and meetings, competition winners and such like.

League reps are able to use the same password to access the league twitter account as is used to access their webmail account and their league's 'League Page' on the development website.
